Position Purpose

The Accounts Receivable Administrator is responsible for handling the tasks associated with the payment of invoices making journal entries, balances and reconciles schedules and prepares summaries and reports.

 

Essential Duties and Responsibilities

  • Reconciles and deposits service and parts receipts, including charge cards, on a daily basis.
  • Enters finalized cash receipts and updates accounts receivable ledger by customer.
  • Receipts all monies received from vehicle sales, checks for money due, credit cards, cash, ACH, electronic drafts and provides drafts for dealer signature.
  • Files all cash receipt records, check stubs, and bank receipts and updates accounts receivable ledger by customer.
  • Prepares cash deposits and fills out the cash control sheet daily.
  • Reconciles statements and follows up collections as necessary.
  • Prepares accounts receivable statements monthly.
  • Researches and processes charge backs, returns, and bad checks.
  • Performs background checks on credit applications. Gives approvals for current charges.
  • Prepares collection letters; service cancellation letters and handles customer phone call inquires and conducts appropriate follow up.
  • Reconciles monthly receivables accounts and prepares appropriate reports as directed.
  • Maintains and keeps current the vender information files.
  • Prepares bank deposits including charge cards, on a daily basis.

  • Adhere to work schedule and arrive at work before your scheduled start time and be at your work station productively engaged by the scheduled time.
  • Complies with all safety rules and use all appropriate safety and personal protection equipment as required.
  • Safeguard customer and Dealer information per established policy.
  • Exemplifies organizational culture and holds others in department accountable for doing the same.
  • Accomplishes all current and future tasks as appropriately assigned or requested.
  • Other related Receivables duties such as special projects as may be directed.
